Tips for your next catered function

Here are a few tips to ensure your catering goes as smoothly as possible when you next use a professional caterer for your function, meeting or event here at Meetings On The Terrace.

 

Get your attendee numbers right

The number of people attending your event or meeting can fluctuate during the planning stage, and right up to the day. As you get a better idea of the numbers of attendees, make sure you update your caterers.

Up to a point you can change your order with your caterers. Ask them when the cut-off is and revise your numbers before then. Making sure they have your latest attendee numbers just before that cut-off is important to ensure you have the right amount of food and drink.

 

Too much food is better than not enough

Even if you know exactly how many people you are providing snacks or food for at your event or function you are holding at Meetings On The Terrace, it’s always better to have a little extra food than not enough. You don’t want any of your attendees to miss out or go hungry, so always increase your attendee catering numbers a bit. If it’s a small meeting, then just adding one or two people to the numbers will do. For bigger events and functions you might want to add anywhere between 3 and 10 to the numbers depending on how many attendees you are expecting. Check with your caterer who has the experience to advise you on this. They might even take this into account when providing food.

 

Choose your level of service

Catering requirements at Meetings On The Terrace can include just food and drinks set up and clearing away by the caterers. You may want more than this, say serving staff offering drinks and nibbles to your guests at the end of a function, or a fully served sit down meal. Be sure to discuss your requirements with your caterers to make sure they know exactly what you expect.

Sweet treats for morning or afternoon tea are always popular

At a morning meeting or conference, tea, coffee and nibbles are a perfect way to welcome guests. This is also a great option for morning or afternoon tea breaks to break up long meetings or events.

Lunchtime options could include a light lunch of finger food if your meeting is finished or hasn’t got much longer to go. If your event is carrying on for the rest of the afternoon you might want to give attendees a larger, more satisfying lunch, but do beware of the post-lunch drowsiness that many people get and plan your schedule around that.

 

Take a break when planned

We know how hard it can be to stick to a schedule during a meeting, function or event. Often people go over time when hiring meeting venues. An important factor to consider when things are running a little over time is the catering. Some food will be fine to delay if you are running a little late, but if you have hot items as part of a lunch, the last thing you want is for your lunch to get cold when you finally get to it.

If you do think you are going to run over time, check with us or your caterers, as we may be able to keep the food hot for you until it’s needed.

 

Drinks?

Which drinks do you think people will want? How well do you know your attendees? Tea and coffee are expected, as are water and juices.

For afternoon or evening functions, we are also seeing a rise in the number of people who want low or non-alcoholic options when alcoholic drinks are being served. There are some particularly good low and non-alcoholic beers being made right here in New Zealand and we are happy to advise you on some options.

There are a lot more dietary allergies and intolerances these days, along with vegetarian, vegan and other dietary requirements. As a good host, it pays to check with all attendees to make sure no-one will miss out on food, or worse, have to leave your function or event because they have eaten something they shouldn’t have.
